This is a SEASONAL position. Hours of work are typically Monday through Friday, day/evening as needed

Summary/Objective:

The Lead Appointment Scheduler is a crucial professional responsible for the intricate planning, organization, and management of a wide array of tax preparation appointments within the Volunteer Income Tax Assistance (VITA) program.

Essential Functions:

This role not only involves meticulously completing appointment scheduling entries but also requires regular updates to the associated database and Excel sheets and timely appointment confirmations. These tasks must be performed daily, to ensure a seamless flow of service for clients seeking assistance.

In addition to these responsibilities, the Lead Appointment Scheduler plays a key role in coordinating and supervising the Scheduling Volunteer Team. This involves providing guidance, training, and support to team members to guarantee that all appointment scheduling entries, database updates, and confirmation processes are completed promptly and accurately. The Lead Appointment Scheduler is instrumental in optimizing the scheduling workflow and ensuring that the team operates efficiently, ultimately contributing to the success of the VITA program in serving the community effectively.

Answers and returns phones and emails

Schedules and confirms tax preparation appointments

Inputs and updates client data in Acuity Software

Manages phone messages, Acuity Data Base and Excel Sheets

Organizes timely workflow with Scheduling Volunteer Team

Assures that all tax appointments are set, entered and confirmed daily by self and Scheduling Volunteer Team

Contributes to team effort by communicating with staff and volunteers regularly

Education and Experience:

High School Diploma

Administrative experience

Experience working in fast paced setting

Experience with scheduling software and Excel

Excellent communication and interpersonal skills

Attention to detail and accuracy

Problem solving ability

Job Type: Full-time

Pay: $17.00 per hour

Expected hours: 30 per week

Schedule:

  • Monday to Friday
